Description
Job Purpose
Provide comprehensive executive and operational support by managing administrative activities, coordinating cross-functional projects, following up on strategic initiatives, and ensuring effective communication and alignment between departments to support business objectives and operational efficiency.
Key Responsibilities
- Manage executives’ calendars, meetings, appointments, and business priorities effectively.
- Coordinate and follow up on projects, tasks, initiatives, and action plans to ensure timely execution.
- Track project and task progress, monitor deadlines, and prepare status updates and follow-up reports for management.
- Facilitate communication and coordination between departments and teams to ensure workflow alignment and task completion.
- Organize and coordinate internal meetings, prepare agendas, record minutes, and follow up on action items.
- Support management in monitoring operational performance and escalating delays or risks when necessary.
- Prepare executive presentations, reports, dashboards, and official correspondence.
- Coordinate business travel arrangements, itineraries, accommodations, and logistics for executives.
- Maintain confidential records, contracts, reports, and sensitive business information with professionalism and discretion.
- Assist in organizing executive visits, events, workshops, and company activities.
- Liaise with external stakeholders, vendors, and service providers as required.
- Support process improvement initiatives by enhancing coordination, communication, and administrative workflows.
- Ensure proper documentation and filing of project updates, meeting outcomes, and operational records.
Qualifications
- Bachelor’s degree in Business Administration, Management, or related field.
- Minimum 3 years of experience as an Executive Assistant, or similar role.
- Experience in project coordination, executive reporting, and cross-functional communication.
- Proficiency in Microsoft Office applications and project coordination tools.
