Description
Responsibilities:
- Implement and maintain a structured document control system to ensure efficient storage, retrieval, and distribution of company documents.
- Review and classify documents, including contracts, reports, technical specifications, and other business-critical documents.
- Ensure compliance with document control policies, regulatory standards, and quality management procedures.
- Maintain accurate records of all documents and ensure proper version control for tracking changes and updates.
- Coordinate the issuance of controlled documents to employees, ensuring that only authorized personnel have access to sensitive or critical documents.
- Oversee document filing, archiving, and retrieval processes, both physical and electronic, ensuring efficiency and accuracy.
- Ensure timely distribution and receipt of documents and maintain communication with project teams and departments.
- Develop and maintain document templates, standard operating procedures (SOPs), and checklists to standardize documentation practices across departments.
- Ensure that all documents are labeled, numbered, and identified according to the company’s naming conventions.
- Provide training to employees on proper document control procedures, and offer support for document management-related queries.
- Monitor and audit document control activities to ensure the integrity and confidentiality of all documents.
- Prepare and present reports on document control activities, including document status, audits, and compliance metrics.
- Collaborate with other departments to ensure that documents are in compliance with internal policies, quality standards, and industry regulations.
- Manage the retention and disposal of outdated or unnecessary documents following legal and company guidelines.
