Description
The Executive Assistant to the General Manager provides high-level administrative support to ensure the efficient operation of the GM’s office. This role involves managing schedules, coordinating meetings, handling correspondence, and assisting with strategic initiatives. The ideal candidate is highly organized, detail-oriented, and capable of handling confidential information with discretion.
Key Responsibilities:
1. Administrative Support
- Manage the GM’s calendar, appointments, and travel arrangements.
- Prepare and edit reports, presentations, and other documents.
- Handle confidential correspondence and communications on behalf of the GM.
2. Meeting & Event Coordination
- Schedule and organize internal and external meetings, including agenda preparation.
- Record meeting minutes and track action items.
- Assist in planning company events, conferences, and offsite meetings.
3. Communication & Liaison
- Act as a primary point of contact between the GM and internal/external stakeholders.
- Screen and prioritize emails, calls, and requests for the GM’s attention.
- Coordinate with department heads to ensure smooth information flow.
4. Project & Task Management
- Assist in tracking key business projects and deadlines.
- Conduct research and provide insights to support decision-making.
- Maintain documentation and records related to company policies and initiatives.
5. Office & Operational Support
- Oversee office operations and ensure administrative processes run smoothly.
- Handle expense reports, reimbursements, and budget tracking for the GM’s office.
- Assist in preparing reports and analyzing data as required.
Qualifications & Skills:
- Education: Bachelor’s degree in Business Administration, Management, or a related field.
- Experience: 2-5 years of experience as an Executive Assistant, preferably supporting senior leadership.
- Technical Skills:
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with project management and scheduling tools.
- Soft Skills:
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- High level of professionalism, discretion, and confidentiality.
Preferred Qualifications:
- Experience working in a corporate or multinational environment.
- Knowledge of business operations and executive-level decision-making processes.
